If your mailbox is filling up, it’s recommended to start by cleaning up emails with attachments larger than 10 MB to free up significant space. If you want to be more aggressive, you can adjust the criteria to include attachments larger than 5 MB or any appropriate size.
Microsoft Outlook provides an inbuilt tool to help manage your mailbox space effectively, whether for a full cleanup or simply to assess your mailbox size.
Here’s how to use the Mailbox Cleanup tool:
Access Mailbox Cleanup:
- Open Outlook.
- Click on the “File” tab and choose “Info.”
- Select “Tools” and click the “Mailbox Cleanup” button.
Search for Large Files:
- In the Mailbox Cleanup window, select “Find items larger than.”
- Enter “9999” in the KB field to search for attachments larger than 10 MB (9999 KB).
- Click “Find.”
Sort and Review Results:
- The search might take a while, depending on your inbox size.
- Once the results appear, click on the “Size” column header to sort emails by size, from largest to smallest.
- Review the “In Folder” column to ensure deleted items are not included.
Cleanup Options:
- Delete the email and attachment: Right-click on the email in the results and select “Delete.”
- To delete the attachment but keep the email, Double-click the email in the results to open it, select the attachment you want to remove and choose “Remove attachment.”
- Save attachments: Open the email, select the attachment, and choose “Save As” or “Save all attachments.” After saving, you can delete the attachment as described above.
Regularly cleaning your mailbox will improve Outlook’s performance and ensure space for new messages.
